Board Meeting

February 7, 2001

Present: Toby Byrd, Sandy Woodruff, Suli Schehr, Fred Bauer, Jackie Byrd, Ellen Livingston

The meeting was called to order at 7:30

New Business

This meeting was called to discuss what to do about the vacant treasurer position, and how to get the bills sent out. It was proposed that we hire an outside accountant, A.R.Smith, to take on the bulk of the treasurer’s duties. This is the same accountant that we used to prepare last year’s tax returns. The cost for this would be $585 for initial set-up, and sending out the bills, and $100 per month for services March through December, which would include checking the PO Box once per month, preparing checks for paying bills, and preparing a monthly statement. The accountant would attend four HOA Board meetings for an additional $260 per year. Check signing authority would remain with the Board.

Jackie Byrd moved that we retain the services of the accountant as outlined, through the end of 2001. The motion was seconded by Sandy Woodruff, and unanimously approved.

 

Ellen Livingston presented a report on outside management companies, to do the Architectural Control Enforcement. She contacted 6 companies, 5 of which considered us "too small". The companies did indicate that if we were large enough, they would typically charge $6 to $8 per house per month. One company, H&E Management Associates, Ltd., indicated that they may be interested. Ellen will get further information from them, and invite them to a future meeting.

 

Toby Byrd indicated that the easement survey has been completed, he will have details at the February 28th meeting.

 

It was decided that the regularly scheduled February 28th board meeting will be held.
